Scheduling Your Event
Pre-Planning Details
Windermere offers you facilities for hosting your own conference, camp, or retreat. Prior to contacting Windermere please make the following determinations to facilitate prompt and efficient service:
- Group Size - all members of your group including sponsors and speakers__________.
- Dates Preferred - expected time of arrival and departure: _________________ through _________________.
- Lodging Preferred - refer to Lodging for pricing, pictures, and capacities.
- Conference & Meeting Room preferences - refer to Conference Spaces for details, capacities, and pictures.
- Meals Desired - You may want to eat in our dining hall, or you may desire to prepare your own meals. Check Food Services for meal prices. If you prefer to cook your own meals, please refer to Lodging for details on the facilities that provide kitchen use. (Note: there is a 50¢/person/night fee for cooking your own meals.)
S M T W T F S Breakfast Lunch Supper - Reservation Type - Will you provide a rooming list for your conference attendees? If yes, the rooming list will need to be sent to Windermere at least two weeks prior to your event. Or are individuals to make their own reservations thru the Reservation Office?
- Recreation Desires - You may wish to participate in group recreational activities, such as The EDGE or a Beyond the Gate Cave Tour. This could be a factor regarding available dates and cost to your group. Most of our recreation is available on an individual basis. Please refer to the Recreation Rates for prices and details.
Group Contract Deposits
Groups who rent the facilities and plan their own program are required to pay a per event deposit. Deposits may be received through the mail if paying by check, or over the phone with a credit card. Credit cards accepted are MasterCard, VISA, & DISCOVER. Deposits are to be returned with the signed contract and will be deducted from the final bill.

Full payment is due upon arrival.
Windermere reserves the right to adjust the rate structure at any time.
Check In/Check Out
Group check in begins at 3:00 p.m. Rooms may not be available until 6:00 p.m. You are always welcome to arrive early and enjoy the grounds while your rooms are being prepared. Check-out time is 11:00 a.m. (keys must be turned in by this time, late check-out fees will be applied).
